Plan for Delivery
ROLLING PRAIRIE LIBRARY SYSTEM
Delivery of materials within
the system area is a vital system service and membership benefit. The delivery of materials and information
continues to be a major component of library system operations. Increased participation by libraries in
library system automation projects and state-wide resource sharing projects
such as VIC insures high demand for this important system service.
Delivery Routes.
DELIVERY GUIDELINES
The system delivers
materials to each member library.
Frequency is determined yearly based upon material volume, as well as
other factors. Member libraries with
multiple buildings must designate one building as the drop-off location.
DELIVERY PROCEDURES
The RPLS delivery service
operates Monday through Friday with four vans operating daily.
Libraries must designate an
area for the driver to pick up and drop off library materials. This location should provide convenient
access to the pick-up area for the driver, or the delivery cannot be made. All materials should be at the designated
pick-up area on the scheduled delivery day.
Items being shipped must be
properly marked. Library bags, bins and
boxes should not be packed higher than the top of the container. Any shipment larger than the normal should
be cleared by calling the Delivery Supervisor.
All items should be packed by the library and ready for the
exchange. Drivers will not be
responsible for packing materials when they arrive.
ON-CALL DELIVERY
In mid-summer the delivery
stops for all of the libraries is reviewed.
At this time, the number of stops per week is determined by the usage of
each individual library. Some libraries
may be designated as on-call delivery stops.
An on-call library receives delivery any time a book or video is on
their shelf. If an on-call library
needs a pick-up, they should call the Delivery Supervisor for a pick-up on
their next scheduled delivery day.
OTHER
In addition to carrier type
delivery service, telefacsimile and electronic mail networks are used when
library patrons need almost immediate access to information. United States Postal Service (USPS) and
United Parcel Service (UPS) are also alternative means for delivery. All such alternative means of delivery are
at the discretion of the library (patron needs) and must follow the ILLINET
Interlibrary Loan Code.
A review of delivery service
is conducted yearly. Libraries needing
increased delivery to a drop-off point should contact the Delivery Supervisor.
The System delivery service
interfaces with other systems and libraries through the Illinois Library
Delivery Service (ILDS). RPLS delivery
service is coordinated with the ILDS on a daily basis. Materials from member libraries are insured
by the System when on the delivery van.
Materials in transit on the ILDS are not insured by the System or ILDS.
Materials lost on RPLS
delivery will be paid for by RPLS after 6 months. Both the lending and the borrowing libraries should check their
shelves before requesting RPLS to pay for lost material. Written notification by the librarian of a
loss in delivery is needed for payment.
