Evaluation Team activities since the last Users Group Meeting on March 11th:

 

The Evaluation Team met Thursday, April 3rd to discuss proposals and general strategies for proceeding with the evaluations. 

 

During the month of April the Task Forces met individually to place the proposals in rank order.

 

The Task Forces submitted their reports on April 28th.  Overall, the rank was 1=Innovative; 2=Sirsi; 3=Dynix; 4=VTLS.  The Training Task Force requested that the top three be invited to provide demonstrations.  Other Task Forces indicated that the rankings between Sirsi and Dynix had been close.

 

On April 29th the Evaluation Team met to discuss the Task Force Reports, the demo logistics, the evaluation criteria, and the Request for Best and Final Offer document.

 

The Evaluation Team met with Robb McGee on Thursday, May 1st to determine which vendors would be invited for demonstrations, and to score the four vendors preliminarily, according to McGee’s list of criteria. It was determined that Innovative, Sirsi and Dynix would be invited.  Regarding the criteria, the Team identified several areas that needed more data, and specific questions for vendors, and sites currently with installations.  It was decided that VTLS would be eliminated from the list of potential vendors, based on functionality (not a turnkey system).

 

Paul Johnson notified VTLS of that decision on May 2nd.  He also began the process of scheduling the three, two day demonstrations with the remaining vendors.  Some sessions will be repeated for convenience.  Each second day demo will include a wrap up with the vendor, the Evaluation Team and Task Force Members.

 

The next meeting of the Evaluation Team and respective Task Forces will be at the first vendor demonstration.
