Minutes Data Standards Meeting

The data standards committee met at Richland Community College, those in attendance were: Marsha Walters (DPL), Karen Anderson (DPL), Patsy Walters (RPLS), Gisela Motzkis (IDOT), Shirley Shaw (TJHS), Shirley Acherman (Lincoln Library). Up date on the de-dup program seems to be dead in the water. SIRSI has still not figured out how to correct the problem. Patsy Walters is waiting to start the record clean up until she knows the status of the de duplication program. Cleaning up records now will result in double work when the de-dup programs resumes running. Certification statistics were discussed and there are still people going through the process, so our figures could change. As of this date, 152 people have taken Diane Kovachs classes, of those 86 were already certified. That leaves 66 people who still need certification. Diane’s contract has run out and was not renewed. The data standards committee will promote her “online” teaching material. Schools are encouraged to submit their forms for Patsy to review. Again we discussed the mentoring program to use if anyone has questions. Patsy is also available to answer questions. The data standards manual is available “on-line” through the RPLS website. Material codes were discussed. It was felt after discussing this issue that material codes already existed for the items that were in question and can be accessed through the data standards manual. The material codes are up to date, people should access the RPLS website and review any changes. Quick cataloging was reviewed and the 945 field was reviewed. In order to keep “on-order” records from returning for completion you must add the 945 OCLC do not set field.
RFP update: A complete up date was given on the RFP. A summary sheet was passed out as well as the information in the RFP that would apply to the data standards committee. We appointed people that we felt would be good on the “task force”. We wanted each library type to be represented. So far the members consist of :

To follow was a discussion of how we are going to proceed and it was also mentioned that we needed a cataloging person on the training task force. Karla Johnson (Effingham) would be an excellent person for this task force. We will get in touch with her and see if she would like to serve. Question and answer followed about how time consuming this would be. Cathy Marx also reported on research she has done on software vendors. Innopac was the most widely used with SIRSI following then Endeavor close behind that. The meeting closed at 12:30. The next meeting is scheduled for December the 18th at Richland Community College.
