Approval of April 25, 2001 minutes

Nancy Peterson/Dec. Sch. made a motion to accept the April minutes as written; Deb DeJarnette/LI seconded; motion passed.

 

Committee Reports

       A. Database Standards – Karla Johnson/EF
              Library staff must be certified by October 1, 2001 to continue adding to the database.  Those who have not yet become certified will be receiving a letter from the Database Committee.  Certification forms and requirements are listed on RPLS web site.

 

       B. Finance – Nancy Huntley/LL reported

              This committee has not met since the budget was approved.  Their next item of business will be to establish the billing for the coming year.

 

       C. Policy – Becky Wright/TH

              This committee has not met. 

              Linda Shaw spoke to the two recent problems on DRA.  1st was the Campbell deletion of patrons.  Someone by mistake deleted a group of patrons whose last name was Campbell from the entire database.  Everyone should be careful when making deletions, only delete those patrons who are registered under your institutions symbol.  DRA and Terry Moreland are to be thanked for being able to solve the mystery of the Campbell deletions.

              The 2nd problem involves patrons who place reserves but do not designate a pickup point.  RPLS was just deleting these requests.  This is unacceptable.  Thus a procedure is to be established whereby the patron’s library will be notified that the request has been deleted.  Then the Library can notify the patron of the problem.

 

       D. Training Task Force – Linda Shaw reported

              The committee has issued an RFP for an individual or group to assess and make recommendations for training to assure a clean database.  The committee hopes to have a decision on whether a contract will be offered by November 1, 2001.  No price was put on the RFP, so as to allow all interested parties to apply.  All RFP’s can be rejected if the costs is too high.  The RFP has been sent to the various library schools, associations and listservs.

              The committee is also preparing training materials to be used on an individual basis.  More like “cheat sheets” for circulation and cataloging services.  Each library will receive a Gaylord MARC poster and a booklet entitled, “Understanding MARC Bibliographic.

 

E. RPLS Report – Paul Johnson reported

A.    SIRSI and DRA announced their merger on May 17.  This means little to the DRAGON group for the present.  It will be a wait and see over the next couple of years to see what does happen with the company.  DRAGON group may want to consider switching to UNICORN instead of TAOS.

B.    As of July 1, 2001, RPLS is no longer printing notices for DRA member libraries.  Go to the web site to see how to print notices.  Question was raised as to how to purchase the 3 part forms used for overdues.  DRAGON has purchased in the past, there are some still available and can be requested through RPLS. 
The Governing Board will discuss future purchases of such supplies.

C.   July 1 was also the official date for when RPLS stopped using DRA as the INTERNET provider and switched to ICN for this service.  This saved the DRAGON group money, but those who relied on RPLS for INTERNET service may see an increase in costs.  IF a library changed to ICN, be sure to get released from RPLS or another provider for this service.  If a library is still interested in joining ICN, this is still possible.

D.   DPL update – scheduled to go online Monday, September 10.  The weekend prior, libraries will begin seeing DPL’s holdings on the system.  It will take more than a week to load all the holdings.  Several libraries, as well as RPLS, will offer staff to be at DPL on their first full days of service.

 

The ACQUISITION software has been purchased and will soon be installed. DRA will hold a training session at RPLS.  Since DPL will serve as the test library, they will be able to send 3 people to the training. RPLS has asked to have 1 person attend, and the Governing Board agreed that Lincoln Library Springfield could have 2 seats.  There is to be 1 seat given to a member of the Policy Committee, leaving 1 seat for any interested library.  Interested libraries should contact Paul Johnson.

E.    The database needs to move to the next upgrade of Classic.  There should be no downtime and the User’s group should see no difference in processes.  However, every library will receive the update pages for the manual.  Please look over the updates and determine if anything will affect work on the database.  Questions to Paul Johnson.  Release notes are already available through a link on the RPLS web site.

F.    Live ‘n Learn Grants – not too many libraries to bring in so there may be funding to purchase modules. The Governing Board is recommending purchasing the Serials Module.
Betty Lou Hicks/HN spoke to the need for this module among the Special Libraries.  The school and academic libraries are also in need of this module.

G.  Gates Library Training – workshop for July has been rescheduled for August 8 & 9 at RPLS.

Announcements

A.    Governing Board meets on Thursday, August 2 at Rochester Public Library.  Everyone is welcome to attend.

B.   DRAGON User’s Group meeting will be held on Thursday, October 11 at Decatur Public Library.  Note time change due to Illinois Library Association Conference.
