RPLS LLSAPP GOVERNING BOARD MEETING

July 10, 2003

Members Present: Becky Wright, Ann Atkinson, Shelley Koehler, Pat Burg, Cathy Marx, Nancy Huntley, Diane Yeoman, Paul Johnson, Lee Ann Fisher, and Betty Lou Hicks.

Vote on allowing DPL and Lincoln Library, Springfield to have a permanent seat on the Governing Board:  Although this issue had been voted upon at the last User’s Group meeting, the timetable for making this effect was fague.  The Board agreed on a motion by Pat Burg and seconded by Betty Lou Hicks, that this change in the by-laws was to be effective immediately upon passage.

Minutes: from the May 6 meeting were approved on a motion by Lee Ann and seconded by Cathy Marx.

Committee reports:

Database: Cathy Marx reported the committee met with the Cataloging task force members and ranked the proposed systems with Innovative first, then Dynix, and SIRSI.

Finance: Diane Yeoman reported  the committee has not met.

Policies: has not met.  Need to appoint a new chair and get the by-laws finalized as voted upon at the last User’s Group meeting.

Technology: Pat Burg reported that the 3 vendor demos were well attended and very worthwhile.  The request for final price quote has been issued.

RPLS:  Paul Johnson reported in more detail about the vendors and the final price quote request.  The 3 vendors are suppose to set up dummy OPAC’s.  Paul can provide the URL to see these products.  All the task force committees except for Training have given their final rankings for the 3 vendors.  Ann Atkinson agreed to contact the members of that Task Force for their rankings and to help select someone to head that Task Force.  The Evaluation Team and the Task Force Chairs are to meet with Rob McGee August 11 &12 to help make the final decision on the vendor.  Hopefully the week of August 25th final negotiations on a contract can be started.

New Business:

          Due to the death of Linda Shaw, who served as the first director for the Governing Board, the Board voted to send $100 for her memorial fund at the Rochester Public Library.

          July 16 no User’s Group meeting – lack of business

          August 14 next Governing Board meeting at Taylorville Public Library

          September Governing Board at Decatur Public Library to discuss incorporation

          October 1 User’s Group Meeting at Lincoln Library, Springfield
