DRA GOVERNING BOARD MEETING
October 4, 2001
Rochester Public Library
Present were: Linda Shaw, Linda Meyer, Nancy Huntley, Cheryl Bushnell, Susan Full, Karla Johnson, Betty Lou Hicks, Becky Wright, Paul Johnson, Shelley Koehler, and Nancy Peterson.
The meeting was called to order by Linda Shaw at 9:35 A.M.
The minutes of the September meeting were approved.
Committee Reports:
Finance – no meeting, thus no report
Policy – no meeting, thus no report. The Policy Committee will offer an explanation at the User’s Group meeting regarding the use of the terms Local Request, Non Request, Non-Circulating, etc.
Technology – no meeting, but would like to poll those who attended the Acquisitions Module training as to what they think of this product.
Training Task Force – has not met, Doris McKay will be added to the list of participants. Betty Lou Hicks asked to be dropped from the committee.
Database – Karla Johnson reported on the meeting held at DPL to address DPL’s concerns about dumping their records into the DRA database. They were assured that if they find a record on which a match can be made, but the record is not a good record they can fix the record. The DPL Director wanted to know what sanctions were going to be imposed on librarians who do not gain DRA certification. The Committee assured DPL that phone calls had been made, that the Governing Board was being kept up-to-date on the progress of the various librarians and that certified letters would be sent to librarians who do not meet the standards. And finally that RPLS would be advised and asked to cut cataloging options to those librarians who do not meet certification.
Karla also discussed the status of the various librarians for certification. There are several schools which do not have a DRA certified librarian, and they will be given additional time to become certified. Most of these schools have new librarians or no librarian. Of the libraries still without certification, there are only eight who do not have a staff member certified to the basic level. Thus, Linda Shaw will draft letters which will be sent certified to the librarian and to whom ever is the governing body – School Superintendent or Library Board President, etc.
RPLS has decided not to filter and thus not file for the e-rate for 56K connections.
The time table for DPL to come on DRA is October 18 begin extracting data and circulate using OBC system. If on October 19 or 20 there is a noticeable slowdown in the system, libraries are to notify RPLS and the extraction of data will be switched to a server in St. Louis.
Re-indexing went smoothly on the last weekend in September.
Betty Lou Hicks had reported a problem with working with the Springfield Art Association and, thus Doris McKay and Paul Johnson will visit this Library to try and determine what exactly is happening. Betty Lou does not feel she can continue as a Mentor because of the confusion over who really makes decisions for this library.
The Board also recommended that RPLS monitor all DRA member libraries especially when there seems to be major staff changes.
User’s Group Meeting on October 11, 2001 in Clinton. Linda Shaw had emailed a draft of the agenda. Some minor changes were made. One major item to be added was for Paul Johnson to give an explanation of how DRA libraries have become OCLC full members and what this really means.
Nominating Committee:
Linda Shaw reported that the Committee plans to offer the name of Becky Wright for the position as Chair-elect of the User’s
Group.
Last meeting for: Linda Shaw as Chair, Linda Meyer as Past Chair.
The Board thanked them for all their work. Betty Lou Hicks also announced that she felt it was time someone else served as Secretary to the Board. This position will be filled at the next Board meeting. Shelley Koehler will be the Chair of the User’s Group.
Next meeting for the Board will be on November 1, 2001 at the Shelbyville Public Library.
